OVERALL MISSION
As part of our new office, we are looking for an Office Administrator.
The selected candidate will perform a wide variety of office management and administrative functions in the office, mainly to ensure the smooth operation and organization of the office; including overseeing and coaching the work of local office employees; taking a lead role in budget-related work and reporting, as well as
also serving as Executive Assistant for the head of bureau. As the office is being set-up, in the initial phase the tasks may be particularly varied and broad and change over time.
MAIN RESPONSIBILITIES
The focus of the main duties and responsibilities, which may change over time, is envisaged as follows:
Administrative management and general services:
- Helping to set-up the office, including office design, working with utilities and suppliers
- Management of reception, access, organization of meetings, management of meeting room and studio schedules
- Participate in on-boarding of new hires
- Overseeing the process of settling international staff in the host country (visa, working permits, shipments, etc.)
- Keeping track and maintaining records of staff leave
- Keeping an inventory of the office
- Ensure compliance and safety of premises
- Manage office supplies, equipment and service contracts within budget
- Manage relations with external service providers, such as cleaning, security, catering and others
- Negotiate contracts and service agreements, ensuring cost efficiency and quality of services provided.
Travel Logistics Management:
- Assist Astana-based and future based employees with travel arrangements, providing support with visas, work permits, accreditations and travel documents
- Performing administrative and logistical tasks related to official travel, including preparation of travel authorizations, visa, and expense reports
- Manage travel budgets and expense reports, ensuring efficient use of resources.
International coordination:
- Collaborate with HR, other Office Administrators and assistants in the London, Brussels and Lyon offices to ensure smooth communication, harmonization of policies and procedures.
Internal events management:
- Organize and coordinate internal events, including meetings and visits from customers or partners.
REQUIRED SKILLS AND QUALIFICATIONS
Technical Skills
- A job-related bachelor’s or master’s degree from an accredited university, preferably with a
- minimum of five years of relevant experience in office administration and management, including budgetary measures
- Knowledge of office management software and communication tools, notably Microsoft Office (Word, Excel, PowerPoint, Outlook, Team's).
- Appetence for budget management and cost control.
- Proficiency in diary management and international travel organization.
- Language skills: Fluent in Kazakh and English (C2 level). Proficiency in Russian is a plus.

FURTHER INFORMATION
- Place of work: Astana, Kazakhstan
- Working hours: full-time, from Monday to Friday
