GENERAL MISSION

We are looking for an Office Manager for our two Brussels offices. You will also act as assistant to the Editorial Director, helping to coordinate operations. If you're a proactive person with excellent organizational skills and are comfortable with a wide range of tasks, this is the job for you!

As Office Manager, you will be the central point of contact for internal staff and external visitors, facilitating smooth communication at all levels of the company. You'll handle confidential information with discretion and professionalism. Representing Euronews Brussels, you will ensure a warm welcome, while providing essential administrative support. Your role will include proactively managing the day-to-day needs of the office, as well as coordinating key agendas and meetings, including direct support to the Editorial Director. You will play a key role in creating a harmonious and productive working environment.

 

MAIN ACTIVITIES

Office Management

 

Office management and general services:

- Welcoming visitors and managing access.

- Organizing meetings and managing schedules.

- Onboarding new employees in conjunction with HR.

- Maintenance and security of offices and equipment.

- Managing supplies and relations with suppliers.

- Organising internal events and client visits.

- Working with the London, Paris and Lyon offices.

 

Travel logistics:

- Travel coordination (booking flights, hotels, assistance with travel documents, etc.).

- Management of travel budgets and expense reports.

Assistant to the Editorial Director

- Assisting the Editorial Director with diary management, expense accounts and travel arrangements. 

- Take notes at meetings and organize them clearly and concisely. 

- Contribute to the preparation and collection of reporting elements for the team, such as monthly income reports, quarterly activity reports, etc. 

- Perform simple accounting tasks (invoice tracking, liaison with the accounting team). 

 

LEVEL OF QUALIFICATIONS AND SKILLS REQUIRED

- Experience: Similar experience in operational management.

- Skills: Organization, multitasking, logistics, communication.

- Qualities: Autonomy, proactivity, team spirit.
- Excellent level of English and French, Dutch a plus.
